Records
The destruction of records is a vital part of your facilities retention policies. You need to destroy records on a regular basis to reduce your cost, however, the task of destroying records is not easy and it involves a large amount of time and is usually prone to error. No longer is this true! The Medical Records Retention System is designed to help you manage and implement your record retention policy. Using the management tools, you will enter the criteria that each record must match before it can be destroyed.
The screen shot above shows the Retention page from the configuration wizard. This information is utilized to determine if a record is eligible to destroy. Other criteria includes a litigation flag (if set the record cannot be destroyed), and examines a mother-child relationship for OB deliveries (the mothers record is maintained until the child's record is eligible to be destroyed). Both additional criteria can be used or ignored by your facility - depending on your retention policies. When you are ready to destroy records, you would start by executing the tool that locates and marks eligible records. Next, you would print the report that lists all the records and their locations. You would then perform whatever steps your facility requires you to do to physically destroy the records. Once the records are physically destroyed, you would enter the destruction data back into the MRRS system for tracking. The following screen shots shows a sample report and the Destroy Records form. Note that the Destroy Records form is very similar to the Purge Records form. All the keystroke saving tools from the Purge Records form are included here as well.
